Visitor Management System

Many Australian organisations use manual systems to process visitor management and contractor management. However these manual systems quickly become cumbersome, inconvenient and time-consuming as this volume of visitors increases.

It was for this reason that Sydney-based company, Time & Attendance, recently introduced a new SAAS (software as a service) visitor management solution to the Australian marketplace. Titled WhosOnLocation Visitor Management On Demand, Time and Attendance’s Director, Mr Peter Morrissey believes that this software will help reduce manual labour for businesses and organisations who cater for regular onsite visitors and contractors:

“One look at WhosOnLocation Visitor Management On Demand and I immediately recognised how Australian organisations could benefit. So I contacted the company’s owner in New Zealand, and managed to secure the Australian rights to this breakthrough software tool.”

Morrissey has identified that WhosOnLocation Visitor Management On Demand will help Australian organisations solve the 4 biggest problems they face today with manual visitor management systems.

Problem #1: Difficulty interpreting visitors’ illegible handwriting

Staff have the flexibility of pre-registering their visitors from any PC or Mac in the world. If their guest is likely to become a regular visitor, their details can be stored as a Frequent Visitor – further reducing the amount of time spent on future pre-registrations.

When the visitor does arrive on site, they can confirm their arrival via any laptop, PC or Mac which the company have setup as their visitor kiosk.

Problem #2: Privacy and security  concerns around visitors and contractors

With WhosOnLocation Visitor Management On Demand, the only information each visitor can see is their own. No longer can a visitor “spy” on the organisation (or their own competitors) by scanning the visitor’s book for clues or insights!

From a security perspective, system administrators can instantly see how many visitors and contractors are onsite at each location, how many have stayed beyond their designated timeframe, and more. This information is also used to assist the organisation in evacuation or other emergency situations.

Problem #3: Chasing down staff to notify them of visitor arrival

Staff can be automatically notified of their visitor’s arrival via an email and / or SMS. The whole process happens without the active involvement of the receptionist! Up to three contacts can be included in this notification, increasing the chances of someone in the organisation being free to welcome the visitor.

Problem #4: Tracking specific visitor habits across multiple sites

To keep track of visitor movements at one site with manual systems is difficult enough – but to track their movements across multiple sites (or even multiple reception areas of the same site) can be a major challenge.
WhosOnLocation Visitor Management On Demand eliminates this issue by providing realtime updates. Not only can does the software provide a snapshot of how many visitors are onsite at any time, it also provides automatic reporting across 1, 10, or even one hundred sites.

Time And Attendance Pty Ltd has helped over 1,000 businesses in Australia and New Zealand automate their manual staff, contractor and visitor systems.
